Follow These Steps to Hire Your Tutor

How to Hire a Tutor

Identify Candidates in Interview Exchange

Set up interview times through Interview Exchange. See the Question bank in the Teams Folder to create your Interview.

Ensure that you ask about campus locations, hours available and subjects that could be covered.

Fill out the Personnel Action Form (PAF) 

Initiate PAF

Once you have interviewed the candidate:

  1. You will need to consider hours and placement.

  2. You will also need to know: 900# (if applicable), fund the tutor will be paid from, number of credits (if a current student) and importantly NUMBER of HOURS you’d like this tutor to work.

  3. You will then fill out the Request for Personnel Action Form (PAF) (link can be found at the top of the Budget Channel in Teams) or  click here: PAF. Must include total hours and tentative start date. If student, must also include 900#.

  4.  Simultaneously email Cassie.Wilcox@bristolcc.edu in HR and copy Christen.Antonio@bristolcc.edu to indicate that the PAF is initiated.

  5. Christen will add supervisor as Guest to PAF so you can check on progress.

Submit Congratulations Email to Candidate

  • The template is in the Teams Folder

 

Where Do I Put Tutor Essentials Certificates

What do I do with Tutor Essentials Certificates: Put them in a Teams Folder 

First ask your tutor to email you the certificate as a pdf. 

When you receive the email you will have the option to SAVE TO ONEDRIVE. Do that. 

Then View in OneDrive will pop up, click on the three dots, click “copy to”  

Go to One Drive on Teams 

Click on gray LT button (Library Learning Commons Tutor Leadership), then click on  Learning Commons Tutor Folder 

Then scroll to the light blue folder. 

Getting a Bristol Email or PT/WS Email for your Tutor

Here is how to request Email Access for your Tutor:

A request such as making an account needs to be New/Changed Work-study/Student Part-time - Computer, Telephone, Email Groups.  If you need a work-study account or have a student who is working part-time please use this form.

If you have someone that is a non-student and they need equipment, and an account you would need to fill out a New/Changed Employee - Computer, Telephone, Email Groups

Adding Info to TracCloud

ADD YOUR TUTOR TO TRAC CLOUD:

YOU CANT DO THIS UNTIL YOU HAVE NEW EMAIL/ZOOM for TUTOR (See that step, above)

  • Go to TracCloud, click on  OTHER-->Other Options-->Profiles-->Learning Commons
  • Click the Staff and Consultant tab
  • Click on the Hamburger near Consultant Listing, when you click, " NEW STAFF MEMBER" should pop up.
  • Fill in First Name, Last Name, Zoom Link, and User Name. For User Name make sure you add their Bristol Alias (first initial, last name and number)
  • At the bottom of that screen click off CONSULTANT if they are a tutor (leave unchecked for others). 
  • User Level should be set to STAFF and Permission Group should be set to SUBJECT TUTORS or WRITING TUTORS.
  • Click SAVE.
  • Once saved scroll back to bottom of page and click on course list (ensure that the text reads COURSE LIST FOR TUTORNAME [NUMBERS].
  • Click on EDIT.
  • Ensure Profile is set to LEARNING COMMONS.
  • In the edit course list screen you would select any courses the tutor is eligible to tutor. You would do this by clicking ADD NEW COURSE ITEM and selecting the course details. 
  • Click SAVE.

*If the tutor is also doing a themed drop-in make sure to create an availability list for the drop-in with the tutors name.
